Atomic Swarms — Privacy Policy & Terms

What we collect and store

Your profile (name, email, role), conversations you sync, missions and their reports, saved deliverables, app preferences and progression, and — only when you attach them — photos you send to the AI and text dictated by voice. Data is scoped to your account (or to your device before sign-in) and stored on our servers (hosted on Railway) to enable cross-device sync and background missions. We do not collect your location, contacts, SMS, or call logs.

AI processing — sharing with third-party providers

To generate responses, the content you submit (messages, attached photos, dictated voice text, mission briefs, and the optional memory/context you save) is sent to the AI provider serving the model you selected: Groq, OpenAI, or Google (Gemini). For time-sensitive questions, the question text may also be sent to a web-search provider (Tavily or Serper) so answers can be grounded in cited sources. If you connect your own Vapi account and start a voice call, your business profile and the live call audio are processed by Vapi and its speech/voice subprocessors under your own Vapi account, solely to run the call. When email sign-in codes are enabled, your email address is processed by Resend (Plus Five Five, Inc.) solely to deliver the code, and by Amazon SES as Resend's sub-processor for the actual delivery.

AI output can be wrong — verify important information before acting on it.

Integration credentials

Most connected accounts (Gmail, Slack, LinkedIn and similar) are turned OFF in this version of the app. The app does not read your mailbox, does not send email on your behalf, and does not post to your social accounts. We disabled these features rather than ship them, because they were built around a single shared server-side credential instead of a separate connection per account; each card in the app states its own status and reason.

The first per-account connector is live: if you connect your own Vapi keys for voice calls, they are stored encrypted at rest, scoped to your account alone, never placed in the server environment, and removed when you disconnect the integration or delete your account.

Analytics & crash reports

Anonymous usage analytics and crash diagnostics are sent only while the corresponding toggles in Settings → Privacy & Security are on. They contain no conversation content.

Crash and freeze (ANR) reports are processed by Sentry (Functional Software, Inc.), with data stored in the European Union (Frankfurt). A report contains technical data only: device model, OS and app version, the error stack trace, and recent in-app technical events (timings and screen names). Reports never include your conversations, photos, API keys, email address, sign-in codes, or purchase tokens — the app strips or drops any event that would. Disable crash reports any time in Settings → Privacy & Security.

Security logs

Our servers keep a technical access log for security and incident investigation: the endpoint called, HTTP status, timing, and a salted one-way fingerprint of the caller that we cannot reverse into an identity. It never contains message content, email addresses, device identifiers, tokens, or query values. It is size-bounded and self-overwriting: roughly the most recent 25 MB of entries are retained (typically a few weeks of traffic) and the oldest entries are automatically overwritten as new ones arrive. It is not linked to your account and is excluded from data export because it cannot be attributed to you.

Access & portability

Settings → Export My Data hands you everything we hold for your account as two files — a readable Markdown summary and a complete JSON file. It is assembled from the same inventory the deletion path removes, so the two can never disagree. Credentials you have stored are listed (which connector, when) but their values are never exported.

Retention & deletion

Your data is retained while your account is active. Deleting your account permanently removes your profile, conversations, missions, reports, schedules, saved deliverables, usage counters, analytics events and sync data from our servers, and wipes the device copy.

Two things survive deletion, both stripped of anything that identifies you:

See how to delete your account and data. For any data request, email contactus@betteratoms.com.
